Donation Request Policy, Guidelines and Process

Policy

1. It is the intent of the Greater Bend Rotary Club to provide financial assistance to 501,C,3 organizations for the benefit of the Greater Bend Community. The gifts will be developmental or project oriented to stimulate growth of beneficial programs or projects. The club favors programs helping youth at risk, but does not limit our contributions to these programs exclusively.
2. Donations will not be made for General Operating Expenses.
3. Donations will not be made to a Religious Group or Sect, or to an individual for travel expenses, etc., that will enhance the individual alone.
4. Donation requests require sufficient lead time in advance of the date when the money is needed. In emergency situations, verification of need by the Donation Committee Chairperson or club officer will be a must. 

Guidelines

1. All requests must be submitted in writing. Email submissions are preferred.
2. A specific amount requested must be stated, as well as a clear definition as to how the funds will be used, and how it will benefit the organization and/or the community.
3. A current financial statement from the requesting organization should be submitted, as well as a list of officers and staff.
4. Endorsement by a Greater Bend Rotary Club member, either in writing or verbally to the committee, is required.
5. A copy of the requesting organization’s 501, C, 3 Tax Exempt status must be available upon request by the committee.
6. Repeat requests for the same purpose are discouraged.

Process

1. Requests will be forwarded to the Greater Bend Rotary Club Donations Committee Chairperson, who will review to insure Guidelines are met, and then forwarded to the committee members for review and a decision. If the request is approved by the committee, it will be forwarded to the GBRC Board of Directors for review and fund dispersal.
2. Requests of more than $5,000 will follow the above process, but will also require a majority vote of the general membership beyond approvals by the committee and the board.
